Which users appear in the dashboard and how to hide unwanted ones.

Basic principle

TeamsDashboard only shows users with an active Microsoft Teams license. The license is checked directly via the Microsoft Graph API.

What is shown?

Users with an active Teams license and a first + last name
Guest users (with the “External” toggle)

What is NOT shown?

Users without a Teams license
Disabled accounts
Resource accounts (Teams Rooms, Common Area Phones)
Users without a first or last name in Azure AD

Problem: Sometimes users appear in the dashboard who are not real employees – e.g. billing accounts, service accounts, or system users that hold a Microsoft 365 Business Premium license for historical reasons.

Bundle licenses such as Microsoft 365 Business Premium include many individual licenses, among them the Teams license. If such an account holds this license, it is shown in the dashboard.

Solution: disable the Teams license in the admin center

You can disable the Teams license for individual users without removing the whole license:

Open the Microsoft 365 admin center (admin.microsoft.com)
Go to Users → Active users
Select the user in question
Click Licenses and apps
Expand the license (e.g. “Microsoft 365 Business Premium”)
Untick Microsoft Teams
Click Save changes

Result: The user keeps all other licenses (Exchange, SharePoint, etc.) but is no longer shown in TeamsDashboard, because there is no active Teams license anymore.

Automatically hidden resources

TeamsDashboard automatically hides the following resource licenses:

Microsoft Teams Rooms Pro
Microsoft Teams Rooms Basic
Common Area Phone
Teams Shared Devices

These device and room accounts do not appear in the dashboard.
